EVENT DETAILS
NCMS is pleased to partner with the Norfolk Naval Shipyard (NNSY) in Portsmouth, VA, on a two-day Technology Showcase that will be held May 9-11, 2023 (tentative dates–confirmation will be announced soon). NNSY is actively seeking innovative technology to demonstrate at the shipyard.
For industry and academic partners, participating in this Technology Showcase will provide an unparalleled opportunity to spotlight new innovations. This Technology Showcase generates interest for the NNSY leadership, engineering, and production management teams because NCMS’s cooperative agreement creates a framework where the command and private industry partners can collaborate to develop customized solutions that meet the shipyard’s specific needs. Moreover, this showcase is unique because it will take place during a change in command.
The Norfolk Naval Shipyard is the US Navy’s oldest shipyard and actually predates the United States Navy Department by 31 years. During its more than 250 years, the Norfolk Naval Shipyard has assisted the nation in many feats, including winning nine major wars, putting an end to piracy, scientifically exploring the Pacific, and opening Japan to American trade. NNSY is recognized as a world-class organization in executing its mission, developing its people, and aggressively improving performance at its state-of-the-art facility.

Exhibiting at the NCMS Technology Showcase
Exhibition spaces are limited so reserve yours quickly. Additionally, only one space will be allocated per company.
This will be a great opportunity for the end-users to get hands-on experience with your technology. To provide the most impact, actual demonstrations of capabilities when applicable are highly encouraged.
If you have any questions about being an exhibitor, please contact eventsupport@ncms.org
Exhibiting Details
Exhibit Space: Exhibitor registration includes one 6’ table with (2) chairs. Due to limited space, only one exhibitor space will be allocated per company.
Wifi Internet Access: Wifi will not be available.
Shipping: There is no direct shipping option. All demonstration and display materials must be carried on site. We recommend shipping directly to your hotel. Please call your hotel to inquire about any shipping and handling fees.
Electricity: Electricity is available throughout the room. Extension cords and power strips will not be provided. It is encouraged to bring your own.
Teardown: TBD
Event Security: No security staffing will be provided during the event or after hours for the exhibition area. Be sure to remove valuable items each evening.
How to get the most out of your participation at an NCMS Technology Showcase
Each exhibitor’s space will be visited by individuals representing Government, Industry, and Academia. Please have a prepared “elevator” description of your technology and how it will benefit maintenance and sustainment efforts. This prepared speech should engage your audience quickly. Be prepared to demonstrate your technology or offer a short presentation on how your technology works. Be sure that you have deliverables that speak to the benefits of your technology, and if possible, create handouts or other marketing collateral.
Actionable Items
- Make sure your team has an elevator speech. Be prepared to describe your technology solution/service and its benefits in 30 seconds or less.
- Demo, demo, demo! Demonstrations draw attention at the event.
- Bring plenty of collateral!
- Keep your exhibit space staffed. Traffic is unpredictable and intermittent, so plan to have a representative at your table during all show hours.
- Refrain from packing up or leaving before the event ends. An empty tabletop reflects poorly upon your company/organization.
- Online Directory: As a part of exhibitor registration, you are required to submit company and technical abstracts. To make a lasting impact, be sure to complete this package by submitting your logo and quad chart to eventsupport@ncms.org.
The exhibitor directory for this event will be posted soon.
BASE SECURITY
Shipyard access will require completed 5512. Form and submission directions will be provided following registration. All requested data must be submitted by 4/10 (NO EXTENSIONS WILL BE GRANTED).

Best Practices for Submission of Exhibitor Materials
NCMS will provide attendees with a printed Exhibitor Directory that delivers a striking showcase for our exhibitors’ technology solutions. In addition, an online directory will be made available. Note that our government partners have requested that Quad Charts be submitted by all exhibitors. Those Charts will be the main place to profile your technology solutions.
To make the best possible use of the print and online space for the directory, we ask that participating exhibitors follow these instructions:
- Submit a 150-word description of your technology solution.
- Submit a 100-word description of your organization.
- Download the Quad Chart Template provided here, and save it as a PowerPoint file once complete. Each quadrant must be completed using Arial 12pt font face.
- For Problem Statement, describe what problem the technology is meant to solve (80 words maximum)
- For Solution Statement, describe the technology product or service (80 words maximum)
- For Benefits Statement, describe the expected impact of the technology (80 words maximum)
- For Graphics, insert photos or charts as needed. Please also submit the graphics in a high-resolution format (300 dpi) in a separate email.
Note: attempts to make the type smaller than 12 points so more than 80 words can fit in each quadrant may result in the submission being sent back. All quad charts should be emailed to eventsupport@ncms.org by 4/10/23.
