Pearl Harbor Naval Shipyard & IMF will host an NCMS Technology Showcase, January 16-18, 2024. Held on base, this is a valuable opportunity for industry and academic exhibitors to demonstrate the latest M&S technologies critical to the PHNS & IMF mission.
EVENT DETAILS

Join the Technology Showcase at Pearl Harbor Naval Shipyard & Intermediate Maintenance Facility (PHNS & IMF) on January 16-18, 2024. This event, to be held on base, will provide a valuable opportunity for industry and academic exhibitors. Due to Pearl Harbor’s remote location, key decision-makers and personnel do not have many travel opportunities to see the latest M&S technologies that are critical to the PHNS & IMF mission. The shipyard personnel are eager to evaluate new products and services and provide firsthand experience of their technology needs and challenges. This event offers a unique venue where program managers, engineers, maintenance personnel, and base leadership will converge, creating the ideal networking environment. NCMS Technology Showcases have been featured at DOD maintenance facilities across the US and Japan and are open to government personnel as well as industry and academic exhibitors and representatives. Please Note: The deadline for exhibitors to register is quite early—November 15, 2023—because base security requirements must be completed ahead of time (see below for details).

Exhibiting at the NCMS Technology Showcase

Exhibition spaces are limited so reserve yours quickly. Additionally, only one space will be allocated per company.

This will be a great opportunity for the end-users to get hands-on experience with your technology. To provide the most impact, actual demonstrations of capabilities when applicable are highly encouraged.

Exhibiting Details

Exhibit Space: Exhibitor registration includes one 6’ table with (2) chairs.  Due to limited space, only one exhibitor space will be allocated per company.

Wifi Internet Access: Internet access will not be provided by the shipyard. Plan to bring preloaded programs on your device, or on CDs or USBs.

Shipping: There is no direct shipping option. All demonstration and display materials must be carried on site. We recommend shipping directly to your hotel. Please call your hotel to inquire about any shipping and handling fees.

Electricity: Electricity is available throughout the room, but it is limited. Extension cords and power strips will not be provided. Exhibitors will be responsible for providing their own extension cords. Be sure they are long enough to extend across a room.

Event Security: No security staffing will be provided during the event or after hours for the exhibition area. Be sure to remove valuable items each evening. NCMS shall, under no circumstances, be liable for any lost, stolen, or damaged items

How to get the most out of your participation at an NCMS Technology Showcase

Each exhibitor’s space will be visited by individuals representing Government, Industry, and Academia. Please have a prepared “elevator” description of your technology and how it will benefit maintenance and sustainment efforts. This prepared speech should engage your audience quickly. Be prepared to demonstrate your technology or offer a short presentation on how your technology works. Be sure that you have deliverables that speak to the benefits of your technology, and if possible, create handouts or other marketing collateral.

Actionable Items

  • Make sure your team has an elevator speech. Be prepared to describe your technology solution/service and its benefits in 30 seconds or less.
  • Demo, demo, demo! Demonstrations draw attention at the event.
  • Bring plenty of collateral!
  • Keep your exhibit space staffed. Traffic is unpredictable and intermittent, so plan to have a representative at your table during all show hours.
  • Refrain from packing up or leaving before the event ends. An empty tabletop reflects poorly upon your company/organization.
  • Online Directory: As a part of exhibitor registration, you are required to submit company and technical abstracts. To make a lasting impact, be sure to complete this package by submitting your logo and quad chart to eventsupport@ncms.org.
BASE SECURITY

Each guest is required to fill out and submit a SECNAV_5512 form. It can be filled out electronically (recommended) or handwritten in BLACK INK ONLY. If there is any missing guest information, the form will not be processed.
If guests already have access to the installation because they are: military members, retired military members, CAC holders, etc., they do not need to fill out the SECNAV_5512 form. Please bring proper identification to the gate with you upon arrival.

Best Practices for Submission of Exhibitor Materials

NCMS will provide attendees with both a print and online Exhibitor Directory that delivers a striking showcase for our exhibitors’ technology solutions. To make the best possible use of the print and online space, we ask that participating exhibitors provide us with the information needed for a company profile and a technology solution-based quad chart. Rather than requesting a pre-built quad chart, we ask exhibitors to complete a series of text blocks and submit a high-quality graphic for the quad chart and a high-quality logo for the profile. That material will be used to create a highly readable profile with quad chart. To make these user-friendly, we will limit the amount of text for each section.

Additional best practices:

Company Abstract: (Max-250 words) Provide an overview of the products and/or services your organization provides, as well as your primary customer base.

Featured Technology: What is the name of the technology you want to feature?

Technology Short Description: (Max-150 words) Focus on the significant features and if available, provide data on where it has been successfully used. Try to refrain from repeating information that will appear in the quad chart.

Problem Statement: (Max-80 words) Highlight the challenges your technology solution has been designed to address. Short, bulleted statements tend to work best here.

Technology Solution Statement: (Max-80 words) Describe how your product or service solves the items listed in your problem statement.

Benefits Statement: (Max-80 words) Data-informed benefits in short, bulleted statements work best here.

Graphic and Logo: If you have a photo, diagram, or data table that belongs in your quad chart, please ensure it has been saved as a high-resolution image (300 dpi or better).
